SHOW POLICIES

Mission Statement:

The computer show’s purpose is to provide a venue for those who want to sell computer items and services to get together with those who want to buy their computer items and services.
 

Show Policies Document:

The purpose of this document is to let the vendors know how the show will be run and to be consistent in the application of rules. Unfortunately this document can not cover all situations and as new situations arise, this document will be modified accordingly. Any vendors who have not received the most recent copy of this document will be given a current copy when they setup at a show. Additional copies are available upon request.

Note: Some of the show policies listed in this document are due to our contractual obligations with the Jefferson County Fairgrounds.

Show Location:

The computer shows are held at the Jefferson County Fairgrounds at 6th and Indiana in Golden. The hours of the remainder of the 1998 computer shows are from 9am to 1pm. Starting in 1999, the hours of the computer shows will change to 10am to 2pm. Vendor setup starts 1 hour prior to the start of the show.
 

Show Dates:

The final remaining show for 1998 is on Saturday December 19th, 1998.

The tentative show schedule for 1999 follows.

Saturday, February 20th, 1999 from 10am to 2pm
Saturday, April 10th, 1999 from 10am to 2pm    (Note: Corrected Date)
Saturday, May 22nd, 1999 from 10am to 2pm
Saturday July 10th, 1999 from 10am to 2pm
Sunday, August 22nd, 1999 from 10am to 2pm (Note: Special Sunday Show)
Saturday, October 9th, 1999 from 10am to 2pm
Saturday, December 18th, 1999 from 10am to 2pm

By the December 1998 show, the final dates will be published.

 

Vendor Obligations:

It is important to make sure that we have your current address, phone number, and e-mail address. This is incase there is a problem and we need to notify you. We can not be held responsible if you move or change your phone number and can not reach you.

Pricing:

For the remainder of the 1998 shows, all tables are $20. Starting the first show in 1999, 8 foot tables will cost $25 each and 6 foot tables (if any) will cost $20 each. It is our intention to spend the extra $5 on advertising.

Note: Tables paid for on the day of the show will cost $5 extra each.

Admission to the show currently costs $3 per person, with children under 12 admitted free with a paying adult. We will not admit any children under 12 without an adult.

While there are no immediate plans to increase the admission fee in the immediate future, we may increase the entrance fee with only one show’s notice. We may also print and issue coupons good for discounts off admission.
 

Security:

We have no regular security system and can not be held responsible for any theft (either from your table or your vehicle). To the best of our knowledge, this has not been a problem but we thought that you should be reminded that you are responsible for the security of your table.

Note: The back door may be used for setup and tear down outside of show hours. During show hours it is expected to be kept shut. It will be locked from the outside (but will still open using the push bar from the inside in case of emergencies). This means that if you walk out the back, you will get locked out and have to walk around the front. Should you be inside and hear anyone knocking, please either ignore them or tell them go around to the front.

To identify vendors, VENDOR badges will be issued at setup. Please wear them during the show. Should you not have your VENDOR badge on, you may be denied admission until your identity can be verified. This is necessary to maintain security and to identify you as a vendor.
 

Table Assignment:

With the exception of a vendor with historical rights to a table, particular tables can only be reserved for the next upcoming show. Should you want a table at a future show beyond the next one, we can make the reservation for you, but can not guaranty the table location until the show prior to that one has taken place. This is to ensure that vendors with historical rights to that table can get it if they choose. Should a vendor waive their historical rights to that particular table for that show, then we may book that table for you.

Tables are assigned as follows:

  1. Historical Rights. On the day of each show, each vendor with historical rights to tables will be given the opportunity to rebook their tables for the next show. Historical rights to a table are established by booking, paying for, and using a table four out of the last six shows. Until DCS Consulting has had four shows, historical rights will be established by whom ever has had that table for the majority of our shows. Note: Should we ask you to change tables for a particular show and you accept, you do not forfeit your historical rights to that table.
  2. Possession. Should a vendor with historical rights to a table not choose to exercise their historical rights, the next opportunity to book that table goes to who ever has it for the current show.
  3. First come first serve.
  4. In cases of a tie (such as being rushed by all the vendors during or at the end of a show) we may use any method we deem necessary, including but not limited to drawing lots, flipping a coin or letting our cat choose. We may take in to consideration how many tables each vendor wants along with their location in order to make as many vendors happy as possible.
  5. We reserve the right to refuse a table to anyone.
Reservations:

At each show, vendors will be given the opportunity to reserve tables for the next show. If there are more than five weeks before the next show, reservations placed at a show will be good for two weeks. Reservations placed at any other time are good for one week, except if there is less than one week until the next show. In that case, you will be notified how long your reservations are good for.

When your payment is received, your table reservation is converted to a booked table. If your payment is not received by the time your reservation expires, you may lose rights to book that table and your reservation can be canceled with out notice. Please send in payment promptly.

In accordance with the "Table Assignment" section, reservations for shows in the future beyond the next one, we may not be able to guarantee which table you will get but we can give you first shot at a table.
 

Cancellation Policy:

It is requested that any reservations you may make but will not be used be canceled as soon as possible to give other vendors the opportunity to book a table.

If you have prepaid your table and then cancel, refundsÝ will be given as follows:

  1. Three weeks or more before the show a full refund will be given.
  2. Less than three but more than two weeks before the show a 75% refund will be given.
  3. Less than two weeks but more than one week before the show a 50% refund will be given.
  4. Less than one week before the show no refund will be given unless your table(s) are rebooked and no revenue is lost, then you will get a 50% refund.
Show Setup:

Setup begins on the day of the show, one hour prior to the start of the show. For the remainder of the 1998 shows, this will be at 8:00 a.m. and for the 1999 shows, this will be 9am. If, in our opinion, it is necessary to start setup earlier we may open the doors to vendors sooner. Should you need to set up earlier, please let us know as special accommodations may be possible. Note: Setup is only possible on the day of the show. When setting up, you may not put anything up on the wall, except on the bulletin boards.

Note: VENDORS MUST BE THERE AT LEAST 10 MINUTES PRIOR TO THE START OF THE SHOW OR THEIR TABLES MAY BE GIVEN AWAY WITH OUT NOTICE. REFUNDS OR A NO SHOW WILL BE CONSIDERED CANCELING WITHIN ONE WEEK OF A SHOW. (see the section on refunds)
 

Items Provided:

The Jefferson County Fairgrounds provide all of the tables and the chairs. They also setup up the tables prior to vendor setup.
 

Utilities:

Electricity is available at the fairgrounds free of charge. However we can not guarantee how close you will be to the nearest outlet so it is recommended that vendors bring an extension cord to tap into the power. Should the power requirement exceed the available power (i.e. circuit breakers keep blowing), we reserve the right to limit the amount of power any vendor uses.

It is expected that for the 1999 shows, telephone service will be available. However, at this time no more information is available and we will not have any more information until the Jefferson County Fairgrounds tells us their policy and fees. When we know more, we will post an update on our web site and put out a revised show policy document.
 

Parking:

Do not park in the handicapped parking unless you have a handicapped tag. Only use the loading zones for loading. If your car is parked illegally during the show, it may be towed without notice.
 

Departure:

We realize that when a vendor has sold their merchandise or if the crowd dwindles that the vendors want to leave. Therefor, to better reflect reality, the show’s hours have been reduced so as to have the vendors there during the entire show times.

When attendees pay to get into the show, it looks really bad to have half of the vendors gone when they walk through the door. This causes them to not want to come back. Please do not leave the show before it is over. Attendees are your bread and butter, you do not want them to be turned off when they come through the door.

Accordingly, we respectfully ask that you do not start packing up and leaving prior to the posted show closing time.
 

Taxes:

DCS Consulting is not responsible for any taxes (including but not limited to sales or income) on the merchandise sold at the show. Taxes are the sole responsibility of each vendor.
 

Illegal Activity:

No stolen, or contraband will be allowed at our show nor will any other illegal activity be permitted.
 

Attendees’ Disputes:

We request that you notify your customers if any merchandise you are selling them is not 100% in quality, has any know defects along with any warranty terms.

Should we receive complaints from attendees who have a grievance with any vendor, we may prohibit that vendor at future shows. Please make sure that your customers are happy and want to come back. This is to all of our benefit.
 

Our Responsibility:

It is our desire to provide a good crowd and get good vendors for every show. However sometimes things beyond our control happen (including but not limited to: Acts of God, Severe Weather, Alien Invasion, Nuclear War, Fire, Losing our lease, etc). Should there be a problem that prevents the show from happening, we are limited to making a reasonable effort to notify you of the problem and providing a full refund with out any fees in a timely manner.
