Wy'east Board Meeting
August 15, 2007
Present: Rev. Susan Maginn, Joanne Foulkrod, Barbara Smith-Thomas, Jill De Rosa, Karl Arruda, Mark Alter.
MINUTES: The minutes of the August 1st board meeting were read and approved.
FINAL JUNE TREASURER'S REPORT: Discussion led by Joanne who stated that Bed and Breakfast providers during General Assembly raised $1380.00. We used less of our savings than anticipated for the fiscal year that ended in June.
JULY TREASURER'S REPORT: Joanne noted that the $3000.00 UU Growth Foundation Grant is reflected in the July budget report. Very little expenditure was apparent this month. Wy'east raised $110.00 for the Emanuel Hospital Burn Center, and we will raise funds for them again at the end of the month. Joanne stated that we need to stay in touch with committee chairs regarding funds that are available for supplies and services.
NESTOR MEMORIAL FUNDS: Nestor Perala's obituary in the Oregonian stated that in lieu of flowers donations may be sent to Finlandia University or the Wy'east UU Congregation. His memorial service will be held at 7:30 pm, August 27th, at St. David of Wales Episcopal Church. . We anticipate receiving donations. The board voted unanimously to place these donations into our building fund.
MINISTER'S REPORT: Rev. Maginn distributed copies of her Ministerial Report. It listed her activities for the first half of August. Future reports will, as needed, include recommendations and issues that need attention.
REGULAR BOARD MEETING TIME(S): Barbara explained that in the past, two board meeting times were set aside per month, and that about 50% of the time both meetings were necessary. We decided to stay with this meeting pattern. For now, it will be the 1st and 3rd Wednesdays of every month.
BOARD RETREAT: Both Susan and Barbara thought a board retreat might be useful. One was held last year in Barbara's backyard. Kathryn Estey was named as an appropriate person to facilitate such a retreat. She has a lot of experience as a small church administrator (Eastrose UU) and served three times on the Board of the First Church in Portland. Issues to explore could include leading congregations in transition and congregational growth. A tentative date was set for September 22nd and the consulting rate is typically $50.00 per hour. Barbara will contact her.
STARTUP WORKSHOP INFORMATION: The Pacific Northwest UU District offers startup workshops designed to meet the needs of churches with new ministers. A tentative date for participation might be January, 2008. Barbara will look into this.
COMMITTEE ON MINISTRY: This committee is in need of a third member. Anders L was recently appointed by Rev. Maginn, and Linda M was recommended by the board. It was noted that members of this committee need to be actual members of the congregation. The board also recommended contacting Tode O as a potential committee member.
RENT UPDATE: Barbara hand-delivered a letter to Rev. David Zaworski regarding the proposed rent increase and repair issues. The Multnomah Friends still are interested in renting to us. Karl agreed to review a copy of their conditional use permit. The Wy'east lease with Waverly is up at the end of August, and January 1st is the first day that the Quaker (Multnomah Friends) space would be available.
