Wy'east Board Minutes

At the Hawthorne Street Cafe

January 19

We had an ad hoc lunch meeting because our scheduled meeting was iced out.
Anders was trapped in Texas for 3 extra hours, so we had no quorum.

Treasurer's Report

Our budget is doing well.
We are taking in more than we're spending.
For now, we will stop withdrawing from our savings.

Schedule

It's time to figure out when canvass is.
We want to canvass before we meet a minister candidate, so we can negotiate with full knowledge of our budget.
This will likely involve asking people to make contingent pledges - promising to give more IF the congregation votes to call a minister.

So, our draft schedule of upcoming meetings:

1/28 Board Meeting

2/21 Long Range Planning Meeting with board and committee chairs

3/4 Congregational budget information meeting

3/17 Canvass dinner

We discussed possible future board configurations, and how to maintain strong institutional memory as we go forward.

Other Items

Waverly had the piano tuned.
Good thing, that.

Karl asked to use the church to host a party for out of town UUs coming to General Assembly in June.
We discussed.
We thought Karl using the church, and inviting others with out of town guests, is fine.
We don't think it's an official church event.

The Portland/Vancouver area congregations are not doing much for a June fundraiser.
We can't piggyback on their hostel activity, since it doesn't exist.
We may informally spread the word to congregations we know on the East Coast.
We will probably need to do another fund raiser.

The sign in front of the church has a permit, but is kind of ugly.
The worship time needs repainting.
We hope to find someone willing to do it.

Joanne is chasing down the checklist for getting the UUA to affirm our Welcoming Congregation status.
(We voted as a congregation in 2004, but didn't turn in the paperwork.)

Barbara will draft initial language to amend the bylaws so committee chairs serve at the pleasure of the board.
By automatically expiring their terms annually, we can prevent turf battles and political struggles.
And we can take the list of committees out of the bylaws.
(Two of them don't exist.)

Things we did by email between meetings

We allocated $80 of Board Discretionary funds for membership dues in the Community of Welcoming Congregations.

We asked Laura Raymond to co-Edit our Newsletter.
She agreed.
Hooray!

Barbara is our only delegate to the district annual meeting in Boise.

Mark will write the newsletter column, with Barbara's assistance.
Anders will write one for Search.
